About Us
Arts for Oakland Kids is a 501(c)(3) organization with a mission to ensure that all students in under-resourced Oakland public schools receive arts education in order to improve learning and promote achievement. Since 1996, we have reached over 29,000 children in 96 public schools and awarded $966,000+ to artists and organizations providing 285 arts programs.
AOK operates in a primarily virtual environment. Work will be conducted in personal or public spaces of the Administrator’s choosing. Monthly Board meetings and committee meetings are primarily conducted virtually. Once per quarter, the board convenes in person at an uptown Oakland location and the Administrator is required to attend.
About the Role
The Administrator of Arts for Oakland Kids serves as the administrative assistant to AOK’s Executive Director and Board of Directors, including providing support for AOK’s fundraising, marketing, events and programming. The Administrator works with AOK’s ED and active volunteer Board of Directors, and reports to the Executive Director.
This is an hourly part-time position, requiring 10 hours/week, Monday-Friday, with a flexible schedule. Starting pay is $25 per hour. Occasional weekends/evenings for monthly Board meetings and special events are required.
Key Responsibilities:
General Administration (25%)
Provide administrative support to the Executive Director as needed.
Support AOK’s all-volunteer Board of Directors, including:
Onboarding new directors with relevant documents, setting up email accounts, etc.
Attending monthly Board meetings
Supporting board committees and the ED by providing needed information and completing tasks/research. May require some attendance at board committee meetings (virtual)
Tech support as needed
Keep Google Drive organized and necessary documents updated
Fundraising & Development (25%)
Support ED in grant research and application preparation
Supporting the ED and Board of Directors in organizing the annual fundraising campaign
Manage donor database (Network for Good) by:
Updating donor information as needed
Organizing and segmenting donor lists
Mailing donation acknowledgements
Support the Board’s events committee and the ED in organizing events, including:
Coordinating and sending out marketing materials for events
Organizing and tracking ticket sales
Soliciting and organizing event donations as needed
Support during the event as needed
Marketing and Outreach (25%)
In coordination with the Marketing Committee and ED, execute the comms plan, including:
Drafting and scheduling online newsletter
Updating the website (we currently use WordPress)
Coordinate & scheduling social media accounts
Support the Marketing Committee as needed with preparation for outreach events
Attend monthly Marketing Committee meetings (virtually)
Administration of AOK-Funded Programs (25%)
Complete the administrative tasks of the annual AOK grant application process, including:
Preparing internal and public online forms
Notifying all grant applicants of status of funding after selection is complete
Distributing and collecting required AOK grant documents, materials, and final reports
Scheduling site visits for Board members
Maintaining communication with and support for AOK grantee program administrators
Required Qualifications
A strong commitment to the mission and vision of Arts for Oakland Kids
1+ years of administrative experience
Proven ability to work independently, multitask, and manage ongoing projects
Strong interpersonal, written and oral communication skills
Flexibility to work in a variety of environments and occasional evenings and weekends
Technical proficiency with Google Workspace (sheets, docs, slides, etc.)
Experience working with a volunteer Board of Directors
Familiarity with CRMs (AOK uses Network for Good), WordPress and/or InDesign a plus
Preferred Qualifications
Knowledge of and/or experience with arts education programming
Experience with and exposure to Oakland Unified School District
AOK Holidays
AOK does not operate on the following holidays: New Year’s Day, President’s Day, Cesar Chavez Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veteran’s Day, and Thanksgiving Day, plus one Holiday day in December.
