For our next GAS Conference, we will focus on the community, collaboration, and crossover that are so prevalent in Detroit. We invite you to share your experiences and expertise in support of GAS’s mission to connect, inspire, and empower all facets of the global glass community. Are you an artist, educator, curator, or researcher with an idea for a diverse and engaging presentation? Do you have a concept for a demo, lecmo, lecture, panel, film, or performance? Who we are: The Glass Art Society is an international non-profit membership organization founded in 1971 whose mission is to connect, inspire, and empower all facets of the global glass community. GAS strives to stimulate communication among artists, educators, students, collectors, gallery and museum personnel, art critics, manufacturers, and all others interested in and involved with the production, technology, and aesthetics of glass. We are dedicated to creating greater public awareness and appreciation of the glass arts. GAS operates a virtual office, and this is a remote full-time position that reports to the Executive Director. Some travel (including international) is required. Salary Range: $50,000-$55,000 Job Responsibilities: Conference: Act as primary conference POC and work with the site committee to organize logistics Work with Executive Director and Communications Manager to develop communication and promotional plan for all aspects of the Conference Coordinate and manage conference presenters Provide conference support and wrap-up including preparation of registration reports; “thank you” letters; Goblet Grab and Silent Auction follow-up, etc. Work with the Volunteer Coordinator to manage the work exchange program: Serve as primary staff contact Recruit volunteers and work exchange participants Assess, in partnership with the Volunteer Coordinator and local conference committee, to determine positions needed, schedules, etc. Create registration for work exchange and volunteers in the GAS module and on the GAS website; update forms, website, etc., with information about jobs, registration process, calendar, etc. Liaise with local volunteer committee (if applicable) Ensure thank you letters are sent to all participants Invoice individuals without timesheets/required number of hours for work exchange Work with the Executive Director to create and maintain the conference assignment grid for Board members Other conference duties as needed Regional + Donor Events: Work closely with the Development + Membership Manager to plan and coordinate Spark and fundraising events Act as POC for regional event partners overseeing all event logistics Serve as staff representative on the Conference Committee maintaining minutes of committee meetings and drive committee projects. Attend Development committee meetings when requested Reconcile financial activity with the bookkeeper Perform a regular review of event information on the GAS website working with the Communications staff to ensure all information is up-to-date Other duties as assigned We’re looking for someone who is: A “people person” that is excited to be part of the GAS team Obsessively organized with a strong event planning background and attention to detail Collaborative in working with staff, Board, and community partners Flexible in responding to and working with shifting priorities of cyclical projects Committed to an “all-hands-on-deck” way of working, especially during conference season (this includes but is not limited to helping answer phone calls, assisting with inquiries about navigating and using the website, helping with conference registration, and traveling to/participating in the management of the conference) An independent worker but can also work well as part of a team in an often fast-paced, non-profit environment Experienced with visual arts organizations (glass experience is a plus!) Our ideal candidate will have the following: Bachelor’s degree or equivalent education/experience Demonstrated success organizing and managing large scale events Demonstrated research and planning skills; attention to detail Excellent communication skills: verbal, written, electronic Database experience Proficiency with Adobe, Microsoft Office Suite, including Excel, and other online applications Auction planning is a bonus! We are dedicated to creating greater public awareness and appreciation of the glass arts. GAS operates a virtual office with a storage/administrative facility, which the Operations + Membership Manager oversees. This is a 32-hour/week, semi-remote position that reports to the Executive Director. Some travel may be required. Position: Part-Time Arts Administrator Salary: $17/hour Status: Part-Time, Semi-Remote based in Seattle, WA Responsibilities Oversee proper functioning of membership database (Neon CRM) including consistency and accuracy of records. Assist with collecting and compiling data, preparing mailing lists, and pulling reports. Manage all front-line office communications, including incoming phone calls and emails; checking and handling GAS voicemails; updating all outgoing messages as needed Manage incoming mail weekly and record/distribute bank deposits when necessary Order office and event supplies as needed Organize and maintain our electronic office filing system Manage the Partial Payment Program for the GAS Conference, including follow-ups and tracking. Maintain GAS Credit system and update records as necessary. Maintain the membership directory and ensure timely and accurate processing of all memberships Assist with managing and maintaining technology needs Identify opportunities for process and office management improvements, and design and implement new systems Oversee office organization, storage, supplies, and inventory. Inventory letterhead, envelopes, and mailing supplies and reorder when needed. Perform annual operational tasks, including insurance renewal, state and city filings, etc. Serve as staff representative on the Membership committees; work with committee chair to maintain minutes of committee meetings and drive committee projects Work with the membership committee to solicit new partners for membership benefits Perform a regular review of all membership pages on the GAS website and Membership Portal working with the Communications team to ensure all information is up-to-date including membership benefits, pricing, and benefit partners Process all incoming memberships and renewals; compile new member and renewal reports and oversee the mailing of packets/notices when necessary Follow up with members who have submitted incorrect or declined payment. Process invoices and refunds when necessary. Assist with conference activities as needed, including pre- and post-conference efforts Work with Communications Manager annually to maintain trade agreements with member benefits and ad-trade partners Work with Communications team to coordinate and implement social media and email campaigns for membership Assist with event registration, credit balances, and discounts for members Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports We’re looking for someone who is: Based in the Seattle, WA, area and able to travel to office facility (Ballard neighborhood) at least once per week Obsessively organized with strong attention to detail and accuracy A “people person” that is excited to be part of the GAS team Well-spoken and comfortable speaking with the public, customer service focused A strong self-starter who is comfortable working independently as well as collaborating and being part of a team Flexible in responding to and working with shifting priorities of cyclical projects Committed to an “all-hands-on-deck” way of working, especially during conference season (this includes but is not limited to helping answer phone calls, assisting with inquiries about navigating and using the website, helping with conference registration, and traveling to/participating in the management of the conference) Experienced with visual arts organizations (glass experience is a plus!)
