LIVING JAZZ Job Title: Office Manager Time Commitment: Full-time Exempt, 40 hours per week WHO WE ARE Living Jazz transforms lives through the music, spirit, and culture of jazz in the Bay Area community by educating students and artists of all ages and abilities. Living Jazz is an interconnected web of people who value jazz as an art form, as our cultural heritage, and as a vehicle for personal and community change. WHO WE’RE LOOKING FOR General Summary The Office Manager will work in close partnership with Living Jazz’s Executive and Artistic Directors to execute the mission and strategic goals of the organization. They will support operations for the organization with an emphasis on Living Jazz’s Children’s Project, Jam Camp West, Jazz Camp West, Jazz Search West, Living Jazz’s Gala, and annual tribute to Dr. Martin Luther King Jr. They will also serve as support with the marketing department, development, community outreach efforts, and volunteer cultivation & coordination. Additionally, the Office Manager will be assisting with administrative support tasks and have stellar organizational, time management, and communication skills. DUTIES AND RESPONSIBILITIES: Program Management Maintain administrative documents and file structure- digital and print Interface with venues, vendors, key personnel, and participants for each program. (i.e. venue managers, parents, technical crew, schools, school districts, etc.) Recruiting, training, and managing additional staff and volunteers as needed. Manage, maintain, archive, and organize program print collateral. Procurement of vendors & supplies. Hiring and organizing crew as needed, procurement of supplies, set up and clean up depending on size of project ie: MLK tribute versus board meetings and retreats. Supporting the Living Jazz Children’s Project with site visits, attaining translated materials, scheduling, meetings with key partners, identifying ways to improve. Office & Facility Management Support Camp Director as needed with Jazz Camp and Jam Camp registrations. Making sure the office is organized, ordering office supplies, making sure internet and web hosting is working, and maintaining utilities. IT System Setup and Maintenance. Warehouse management and maintenance of supplies. Manage mail, email, and voicemail. General data entry. Living Jazz owns a tremendous inventory of supplies and equipment used for programs stored in an Oakland based warehouse in Oakland as well as a Berkeley storage facility. Office manager is responsible to maintain, organize, and replenish all warehoused supplies before and after programs. This includes keeping up to date inventories annually, and organizing supplies before program transports. DESIRED CANDIDATE QUALIFICATIONS AND QUALITIES: 2+ years supervisory experience 2+ years experience in administrative and office management Strong understanding of how social identity, economic, and cultural factors intersect dynamically with/in Living Jazz programs, schools, students, colleagues, families, self and society at-large. Attention to detail and problem-solving skills. Proficiency in Word, Excel, etc. as well as Google Suite on both PC and Mac. Proficiency in CRM Software such as Salesforce is a plus. Experience in nonprofit management is a plus Skilled communicator, learner, listener, and collaborator - open, approachable, personable – who creates a positive working environment within the organization and community. Embraces technology and is experienced in leveraging current communication tools and management platforms designed for organization & efficiency. Ability to work some weekends and evening hours as necessary. Must live in the San Francisco Bay Area and be able to work at our Oakland office. SALARY: This is an Exempt full-time position with an annual salary of $55,000 - 65,000 (commensurate with experience) and an expected average of 40 hours per week. Videography Scope of Work 2022-2023 Living Jazz Children’s Project Overview This document is intended to serve as an anticipated Statement of Work for Living Jazz and their Living Jazz Children’s Project for the 2022-2023 school year. Living Jazz Children’s Project provides rhythm, choral, and dance education to 11 East Bay public schools, free of charge. Our programs facilitate a variety of important outcomes in the development of our youth. Among them are: Exploration of the performing arts disciplines as a way to build confidence and increase learning capabilities in the classroom. Deepening of understanding of historically marginalized cultural histories and important social justice themes, through music and dance. Acquisition of a basic music and dance foundation for further creative exploration and mastery. First-hand experience of the arts ability to facilitate deeper connection to each other and to the greater community via call-and-response, group learning, and performance. The final deliverable will depict Living Jazz teaching services; final assemblies; and student, administrator, faculty, and LJ teaching artist testimonials. Purpose The footage will be compiled into one edited video to be used for Living Jazz promotional purposes on our website and social media platforms as well as internal usage for our granting and development partners. The purpose of the video shoot is to capture the student experience and transformation while participating in our programming. The completed video should be no longer than 2 minutes. The intent of the video footage is: Provide a window into the Living Jazz classroom by demonstrating student participation and progress in rhythm/choral/dance practices. To inform potential funders about how our programs function in relationship to Oakland Unified School District and West Contra Costa County Unified School District educational needs. To demonstrate specific outcomes of Living Jazz programming through student performers, testimonials and interviews of our partners and students. Schedule, Location, and Timeline Since Living Jazz Children’s Project currently serves 10 public schools, scheduled shoots will be defined for 5-7 of our school partners based on Living Jazz’s evaluation of school preparedness videographer’s availability. Our programs run on a 16 week term, each culminating in a final assembly. Sample schedule is as follows. PLEASE NOTE THAT THIS IS A SAMPLE SCHEDULE AND DOES NOT REFLECT SHOOT DAYS. We will be crafting the schedule in tandem with videographer once hired. October Week 5: Monday– Cleveland Elementary (1hr), La Escuelita Elementary (1hr) Wednesday– Montalvin (1hr), Nystrom (1hr) Friday– Montclair (1hr) Burckhalter (1hr) Week 6: Tuesday – Highland (1hr), Washington (1hr) Week 14: Tuesday: Montalvin (1hr), Nystrom (1hr) Thursday: Glenview (1hr), Montclair (1hr) Week 15: Monday– Cleveland Elementary (1hr), La Escuelita Elementary (1hr) Wednesday– Montalvin (1hr), Nystrom (1hr) Friday– Montclair (1hr) Burckhalter (1hr) Week 16: Assemblies (7 hrs) Each of our 11 schools will culminate the term with a final assembly. Videographer will be responsible for capturing seven of them. Each week, Living Jazz will request that you upload b-roll to a specified folder for team use throughout the term. Deliverables: Final products are expected as follows: One (1), edited 3-5 minute video that meets the above requirements outlined in the “Purpose” section of this document, uploaded onto an external drive and sent to Living Jazz staff. Seven (7) individual files of the respective school assemblies edited for quality, uploaded onto an external drive and sent to Living Jazz staff. All edited and unedited B-roll uploaded to the external drive and sent to Living Jazz staff. LIVING JAZZ OPENINGS - Oakland and West Contra Costa County Living Jazz Children's Project (LJCP) 2022-2023 SCHOOL YEAR Hello Bay Area Arts Community! Living Jazz is searching for teaching artists versed in practices including but not limited to rhythm, choral, songwriting, dance, and body percussion. Openings are for grades TK-6th, depending on the educator's comfort levels. This position offers a competitive rate and possible access to a budget for instrumentation.
